What is the dealer portal?

A dealer portal is not a shop window for placing orders; it is the screen where a dealer sees its own commercial relationship. Orders, account balance, credit limit, due dates and the document archive all live in one place.

Which problem does it solve?

At manufacturers with dealer networks, orders usually arrive by phone, messaging and e-mail. That creates three costs:

  • Order entry stays with the sales team, and the error rate depends on the person.
  • Dealers do not know their balance, so every question becomes a phone call.
  • Price disputes cannot be settled, because which price applied on which date is arguable.

How it works

The portal does not recalculate price and stock rules on its own; it calls the rule held in the central system (ERP). With two engines, results eventually diverge and invoice disputes follow.

When a dealer places an order the system checks, in order: the assigned price list, discount tier, minimum order conditions, sellable stock and credit limit. If a rule is broken the order is either blocked or routed to approval — which one is a setting.

On the stock side dealers see sellable stock, not raw stock: reserved, in-transit and blocked quantities are deducted. Otherwise the same item gets promised to two dealers.

Frequently asked questions

What if dealers keep ordering by phone?

A transition period is normal. What works in practice is offering advantages through the portal rather than forcing it: live stock visibility, reorder from history and a document archive. Phone orders entered into the same system keep the measurement intact.

Will dealers see our real stock?

No, they see sellable stock. Quantities can also be shown as bands (available / limited / none) instead of numbers.

Is an order cancelled when the credit limit is exceeded?

That is your policy: the order can be blocked, routed to approval, or allowed with a warning. What matters is that the rule lives in the system; person-by-person exceptions break the measurement.
